Key Responsibilities:
  • Front Desk & Client Coordination
    • Greet clients with polish and professionalism
    • Answer and manage calls with tact and discretion
  • Email & Calendar Management
    • Own the CEO’s inbox: prioritize, flag, respond, and eliminate noise
    • Master the calendar: schedule meetings, prep agendas, handle conflicts
  • Client Experience Support
    • Prepare the CEO before every client touchpoint (backgrounds, timelines, preferences)
    • Manage follow-through: send updates, delivery reminders, personalized notes, and other luxury touches that will wow clients
  • Admin & Operations
    • Keep records, files, and data systems clean and updated
    • Spot inefficiencies and suggest improvements: bring structure where there’s chaos
  • Special Projects & Brand Tasks
    • Occasionally support the brand/communications lead on strategic projects
    • Contribute to online presence: flag reviews, suggest responses, coordinate with stakeholders

Non-Negotiables:
  • 3–5 years experience supporting a C-level executive (EA or Chief of Staff)
  • High EQ, high attention to detail, and a calm presence in high-pressure moments
  • Obsessed with systems, schedules, and structure, yet flexible when the plan shifts
  • Proactive and independent: sees problems coming before they arise
  • A “no-task-too-small” mindset paired with elite-level polish

Nice-to-have:
  • Neutral or professional accent for client calls
  • Experience managing online reputation (Google Reviews, Yelp, etc.)
  • Familiarity with luxury, fashion, or client-first environments
  • Comfort supporting social media and light brand tasks
  • Experience working in-person with a high-energy founder

Tech Stacks:
  • Google Workspace
  • CRM & Email Systems (we’ll train you on what we use)
  • Calendly, Gmail, and cloud file organization tools
  • Social review platforms (Google, Yelp, etc.)
